How we protect information

Our controls follow the four ISO/IEC 27001:2022 themes: organisational, people, physical and technological. Detailed policies are available on request.

Governance and risk

An Information Security Lead owns the ISMS, with accountability at leadership level. Risks are logged, scored and reviewed; policies are reviewed annually and after significant change.

Identity and access

Unique named accounts, no shared logins. MFA is mandatory with no exceptions; SSO is used wherever available. Access is role-based and least-privilege, and privileged access is reviewed at least every six months.

Devices

Company devices are centrally managed, with full-disk encryption, endpoint protection, remote wipe and screens that lock after 10 minutes. High and critical patches are applied within 14 days. Personal USB storage is not permitted.

Cloud and network

We are cloud-native, with no on-premises servers. Our web estate sits behind Cloudflare, data is encrypted in transit with TLS and at rest by our platform providers, and admin activity is logged and reviewed monthly.

Secure development

Code is peer-reviewed, version-controlled and kept free of secrets. Client personal data is never used in test environments. We follow NCSC secure-engineering principles and OWASP guidance, with controlled change management.

People

Pre-engagement screening proportionate to role, confidentiality obligations in every contract, and mandatory security, GDPR and quality training within 30 days of joining, refreshed annually. Leavers lose access by the end of their last day.

Classification and transfer

Information is classified as Public, Internal or Confidential. Confidential material is shared only through encrypted channels and only once an NDA or data processing agreement is in place.

Supplier assurance

Every supplier is risk-assessed before use and reviewed annually. We prefer ISO 27001 or SOC 2 certified providers; others complete our security questionnaire. Contracts cover confidentiality, incident notice and data return.

Incident management

Security events are triaged within eight hours. Affected clients are notified without undue delay, the ICO within 72 hours where required, and every incident is reviewed for lessons learned at management review.

Working inside your HubSpot portal

Most of our work happens in systems you own. Here is how responsibility is shared.

Our controls

What Evara does

  • Accesses your portal only through HubSpot Partner access that you grant and can revoke at any time
  • Uses individual, named users with MFA. No shared or generic logins
  • Requests the minimum permission set the work needs, and removes it when the work ends
  • Partner users do not consume your paid seats
  • Tests changes before release and records them in our project system
  • Keeps your data inside your portal unless you instruct otherwise

Your controls

What you control

  • Approving, scoping and removing partner access
  • Your portal’s SSO, data-hosting region and retention settings
  • Lawful basis, consent and privacy notices for your contacts
  • Sign-off of changes, campaigns and financial promotions before launch
  • Private app tokens and integration credentials you issue to us

Privacy and data protection

We act as a processor for the client data we work with, and as a controller only for our own business and marketing data.

Processor on your instructions

We process client personal data only on your documented instructions, under a data processing agreement with UK GDPR Article 28 terms, and never for our own purposes.

Where data lives

Client CRM data stays in your own platforms. Our working data is held in our core cloud platforms; hosting regions for every sub-processor are listed in our register, available on request.

Retention and deletion

We keep personal data only as long as the engagement needs it, under a documented retention register, then delete it securely. At contract end, data is returned or deleted as agreed in the DPA.

Data subject rights

We have documented procedures to help you respond to access, rectification and erasure requests, and to support your DPIAs when we are involved in new processing.

ICO registered

Inbound FinTech Limited (trading as Evara) is registered with the Information Commissioner’s Office under registration number ZA370337.

Data protection contact

Questions about privacy, DPAs or data subject requests go to infosec@evara.co.

Sub-processors and core platforms

The platforms most relevant to client engagements. Our full register, with hosting regions and transfer mechanisms, is available on request. We tell clients before adding a sub-processor that will handle their personal data.

How we use AI

AI speeds up analysis, research and drafting. It never replaces the judgement of the specialist accountable for your work.

Business-grade tools only

We use AI tools under business or enterprise terms that exclude customer data from model training. Consumer AI accounts are not used for client work.

Human review, every time

Every AI-assisted output is reviewed by an Evara specialist before it reaches you or goes live. Accountability stays with our people.

Minimum data, by design

We share only the data a task needs, avoid personal data in prompts wherever possible, and never put confidential client information into tools that are not approved.

Your choice

Tell us if your policies restrict AI use and we will deliver your engagement without it, or only with the tools you approve.

Resilience and continuity

Our ICT Continuity Plan is built on a business impact analysis and exercised every year; the latest exercise ran on 17 May 2026. As a fully cloud-based business, we can keep delivering from any location.

ScenarioRecovery time objective
Cloud platform data restore (version rollback)Immediate
Loss of office connectivityImmediate (switch to alternative connection)
Compromised or failed laptop24 hours
Office unavailable, full remote working24 hours
Migration to an alternative provider1 week

Our continuity plan summary and latest exercise report are available on request.

Built for financial services due diligence

We work with regulated firms every day, so we expect your outsourcing and third-party risk checks, and we make them easy.

FCA SYSC 8 and PRA SS2/21

We support proportionate due diligence: audit and information rights for you and your regulator, documented continuity arrangements, and written consent before any sub-outsourcing that affects your service.

DORA for EU entities

For EU-regulated clients we can agree the Article 30 contractual terms: service description, data locations, incident assistance, termination rights and exit support.

Financial promotions and Consumer Duty

Content and campaigns for regulated firms go through your approver before launch, with version history kept, so your financial promotions sign-off stays in your control.

Exit and transition

Your data stays in your systems and your access never depends on ours. At exit we hand over documentation, credentials and configuration records, and remove our access.

Financial crime controls

Anti-bribery and corruption, anti-money laundering, sanctions screening, anti-slavery and whistleblowing policies apply to everyone who works for us.

No cardholder data

We do not store, process or transmit payment card data, so PCI DSS does not apply to our services.

Responsible business

The policies and legal obligations that shape how we operate.

Anti-bribery and corruption

Zero tolerance, in line with the UK Bribery Act 2010. No facilitation payments, transparent gifts and hospitality, and training for all workers.

Anti-money laundering and sanctions

Risk-based client due diligence, sanctions screening at onboarding and annually, internal escalation of concerns, and annual training.

People and fair work

An equal opportunities employer with flexible and hybrid working. Our Anti-Slavery and Human Trafficking Policy extends to our supply chain.

Environment

Digital-first and paper-light. Devices are reused, donated or certified-recycled at end of life, and climate risk is part of our risk and supplier reviews.

Speaking up

A confidential whistleblowing route to senior leadership, and a no-blame culture for reporting security events.

Legislation we track

Our legal register includes UK GDPR and the Data Protection Act 2018, the Data (Use and Access) Act 2025, PECR, the Computer Misuse Act 1990, the Bribery Act 2010, the Companies Act 2006 and the Online Safety Act 2023.

Frequently asked questions

Collected from the security, compliance and procurement questionnaires our clients have sent us. Can’t find your question? Ask us.

Company and certifications

Who is Evara’s legal entity?

Evara is the trading name of Inbound FinTech Limited, a company registered in England and Wales under company number 06020663, incorporated in December 2006. Our office is at 100 Bishopsgate, London EC2N 4AG. Our ISO certificates are issued to Inbound FinTech.

Is Evara certified to ISO 27001?

Yes. Evara is certified to ISO/IEC 27001:2022 (certificate 255209) by the British Assessment Bureau, part of Amtivo, under UKAS accreditation. We were first certified on 7 June 2024; the current certificate was issued on 3 July 2026 and is valid until 6 June 2027, subject to annual surveillance audits.

Is Evara certified to ISO 9001?

Yes. Evara is certified to ISO 9001:2015 (certificate 251673) by the British Assessment Bureau under UKAS accreditation, with the same scope and validity dates as our ISO 27001 certificate. Both standards run as one Integrated Management System.

What is the scope of your certification?

Both certificates cover the provision of growth systems consultancy, technology implementation, CRM architecture, smart lead generation, SEO and Answer Engine Optimisation (AEO), data and business intelligence, AI and automation, revenue operations, and strategic advisory services for Financial Services and FinTech organisations globally.

When were you last audited, and what was the outcome?

Our second surveillance audit took place in June 2026 with zero non-conformities; the auditor sampled 17 Annex A controls and found all conformant. Our first surveillance audit in June 2025 also had zero non-conformities. We also run an annual full-system internal audit with an external consultancy.

Can we see your Statement of Applicability?

Yes, under NDA. Our Statement of Applicability (v1.0, June 2026) applies 92 of the 93 ISO/IEC 27001:2022 Annex A controls, with one control excluded and justified as not relevant to our services. Email us to request the summary.

Do you have SOC 2?

No. As a UK consultancy we certify to ISO/IEC 27001:2022, which is independently audited every year and covers a comparable range of controls. The core platforms we rely on, such as HubSpot and Google Workspace, hold their own SOC 2 and ISO 27001 attestations.

Do you hold Cyber Essentials?

We do not currently hold Cyber Essentials certification. Our ISO/IEC 27001:2022 certification covers the Cyber Essentials technical areas (secure configuration, access control, malware protection, patching and boundary protection) and we can provide a control mapping on request.

Security controls

Do you enforce multi-factor authentication?

Yes. MFA is mandatory on every platform, access route and privileged account, with no exceptions. We use single sign-on wherever a platform supports it.

How do you manage access rights?

Access is role-based and least-privilege, granted through a controlled request process. Every user has a unique named account and shared accounts are not permitted. Privileged access needs written approval and is reviewed at least every six months.

What happens when someone leaves?

Leavers’ access is disabled by the end of their last working day, devices and assets are recovered, and confidentiality obligations are restated. Movers have their access reset to their new role.

How are staff devices secured?

All company devices are centrally managed, with full-disk encryption, endpoint protection, remote-wipe capability and a screen lock after 10 minutes of inactivity. High and critical security patches are applied within 14 days, and unsupported operating systems are not permitted.

Is data encrypted?

Yes. Data is encrypted in transit using TLS and at rest within our cloud platforms, and every company device uses full-disk encryption. Confidential information is only ever transferred through encrypted channels.

Do you carry out penetration testing?

Our public-facing infrastructure undergoes external security assessments at least annually, and twice in the past year. The latest assessment of evara.co, in May 2026, found no high or critical issues. A summary of scope and outcome is available under NDA.

Do you monitor and log activity?

Yes. Administrative activity across our core platforms is logged, retained for six months and reviewed monthly by our InfoSec team. Relevant logs can be shared with clients on request during an investigation.

Do you develop software that stores our data?

We do not operate our own software products that host client data. Where we build on your platforms, such as HubSpot CMS modules, integrations or automations, code is peer-reviewed, version-controlled, kept free of secrets and tested before release. Client personal data is never used in test environments.

How do you manage changes?

Significant changes are risk-assessed, approved, communicated in advance and logged under our Change Management Procedure, with a fall-back plan. Changes in client systems are agreed with the client before release.

Your HubSpot portal and systems

How do Evara staff access our HubSpot portal?

Through HubSpot Partner access that you grant directly. Each Evara specialist uses a named user with MFA, partner users do not consume your paid seats, and you can change or remove our permissions at any time.

What level of access do you need?

Only the permissions the agreed work requires. We request the minimum set at kick-off, ask for elevated rights only for specific tasks, and remove access when the engagement ends.

Can our SSO policy apply to Evara users?

Partner users usually need to be excluded from your portal SSO because they authenticate through their own HubSpot accounts. MFA remains mandatory for every Evara user, as our ISO 27001 controls require.

Will our data leave our systems?

Not unless you instruct us to. We work inside your portal, and any exports needed for a task are kept to the minimum, held in restricted project folders and deleted when no longer needed.

How do you handle API keys and private app tokens?

Credentials you issue to us are stored in our enterprise password manager, never in code, email or documents, and are scoped to the integration they serve. We ask you to rotate or revoke them at the end of the engagement.

Data protection and privacy

Are you a controller or a processor?

For client data we are a processor: we act only on your documented instructions under a data processing agreement and do not use or retain your personal data for any other purpose. We are a controller only for our own business and marketing data.

Do you have a standard data processing agreement?

Yes. Our DPA includes UK GDPR Article 28 terms covering instructions, confidentiality, security, sub-processors, assistance with rights requests and breaches, deletion or return, and audit. We are also happy to review yours.

Where is our data stored?

Client CRM data remains in your own platforms and the hosting region you have chosen. Our own working data is held in our core cloud platforms. The hosting region and transfer safeguard for every sub-processor is set out in our register, available on request.

Do you transfer personal data outside the UK?

Some of our technology providers are headquartered outside the UK. Where a restricted transfer occurs, it is covered by a recognised safeguard such as the UK International Data Transfer Agreement or Addendum, or a UK adequacy decision. Details are in our sub-processor register.

How long do you keep our data?

Only as long as the engagement requires. Our retention register sets defined periods for each record type, and at the end of a contract client data is returned or securely deleted as set out in the DPA.

Will you help us respond to data subject requests?

Yes. We have documented procedures for supporting access, rectification, erasure and objection requests relating to data we process for you, and will support your DPIAs where our services are involved.

Are you registered with the ICO?

Yes. Inbound FinTech Limited, trading as Evara, is registered with the Information Commissioner’s Office under registration number ZA370337.

Have you had a data breach?

Evara has had no reportable personal data breaches and no regulatory enforcement action.

Incidents and continuity

How quickly will you tell us about an incident?

Security events are triaged within eight hours of being reported. If an incident affects your data or services, we notify you without undue delay so you can meet your own regulatory deadlines, and we notify the ICO within 72 hours where we are required to.

Do you have a business continuity plan?

Yes. Our ICT Continuity Plan is based on a business impact analysis, sets recovery time objectives for each critical system, and is exercised every year. Our latest exercise ran on 17 May 2026 and completed successfully.

What are your recovery time objectives?

Restoring cloud data through version rollback is immediate. Replacing a compromised laptop takes 24 hours, moving fully to remote working takes 24 hours, and migrating to an alternative provider takes one week. Your HubSpot data is protected by HubSpot’s own resilience.

What if a key team member is unavailable?

Engagements are delivered by teams, not individuals. Work is documented in our project system and shared drives, so another specialist can pick it up without losing context.

People and training

Do you screen staff and contractors?

Yes. We carry out pre-engagement screening proportionate to the role, including identity, employment history and qualification checks. Specialist contractors are vetted and bound by the same confidentiality and security obligations as employees.

Is security training mandatory?

Yes. Everyone completes security awareness at induction, cyber security training within 30 days of joining and every year after, plus ISO 27001, ISO 9001 and GDPR awareness. Completion is tracked. Anti-money laundering and anti-bribery training are also mandatory.

Are staff bound by confidentiality?

Yes. Confidentiality clauses are in every employment and contractor agreement, and everyone acknowledges our Acceptable Use and Information Security policies before they get access to systems.

Suppliers and AI

Who are your sub-processors?

Our core platforms are listed in the sub-processors section of this page. The full register, including hosting regions and transfer safeguards, is available on request, and we notify clients before adding a sub-processor that will handle their personal data.

How do you assess your own suppliers?

Every supplier is risk-assessed before onboarding and reviewed annually under our Supplier Control Policy. We prefer ISO 27001 or SOC 2 certified providers; others must complete our security questionnaire. Contracts cover confidentiality, audit rights, incident notice and data return.

Do you use AI on client work?

Yes, to speed up analysis, research and drafting, using business-grade tools whose terms exclude customer data from model training. Every output is reviewed by an Evara specialist, and we will deliver without AI if your policies require it.

Is our data used to train AI models?

No. We only use AI tools under terms that exclude customer data from model training, and we avoid putting personal data into prompts wherever possible.

Financial services and legal

Can you support our outsourcing due diligence?

Yes. We regularly complete supplier reviews for FCA-regulated firms and can support SYSC 8 and PRA SS2/21 requirements, including audit and information rights, continuity evidence, sub-outsourcing controls and exit planning.

Can you meet DORA contractual requirements?

For EU-regulated clients we can agree the DORA Article 30 contractual terms, including service descriptions, data processing locations, incident assistance, termination rights and exit strategies.

Will you allow audits?

Yes. We support remote audits and reasonable on-site audits by clients, their auditors and their regulators, subject to confidentiality and reasonable notice.

How do you handle financial promotions?

Evara is not FCA-authorised and does not approve financial promotions. Content and campaigns for regulated firms go through your nominated approver before publication, and we keep version records to support your sign-off.

What insurance do you hold?

We hold professional indemnity, public liability and employers’ liability insurance. Certificates are available on request.

Do you have anti-bribery and modern slavery policies?

Yes. We have an Anti-Bribery and Corruption Policy aligned with the UK Bribery Act 2010, an Anti-Money Laundering Policy with sanctions screening, and an Anti-Slavery and Human Trafficking Policy. We are below the turnover threshold for a statutory modern slavery statement.

Will you complete our security questionnaire?

Yes. This page answers the most common questions, and we keep a pre-completed standard questionnaire ready to share. For bespoke questionnaires, email us and we will turn it round as quickly as we can.

Starting a security review?

Tell us which documents you need, or send your questionnaire. Our Information Security Lead will respond, usually within two working days.
